FreshBooks Review (2026): Pricing, Features & Honest Verdict

Reviewed by MakerStack · Published · 5 min read

TLDR

FreshBooks is cloud accounting software designed for freelancers and small service businesses, with invoicing, expense tracking, time tracking, and financial reporting that non-accountants can actually use. Best for: freelancers and service businesses that invoice clients. Price: from $21/month (Lite, 5 clients), 30-day free trial. Rating: 7.1/10

What is FreshBooks?

We found FreshBooks while looking for accounting tools that do not require an accounting degree to use. Founded in 2003 by Mike McDerment, Levi Cooperman, and Joe Sawada in Toronto, FreshBooks started when McDerment accidentally saved over an invoice in Excel and decided there had to be a better way. The company has grown to roughly 400-450 employees, raised $154 million in funding, and reached a $1 billion valuation in 2021. Over 30 million people have used the platform.

FreshBooks is purpose-built for people who send invoices for a living. Consultants, designers, developers, marketers, photographers, lawyers. If your business model is “do work, send invoice, get paid,” FreshBooks handles the financial side so you can focus on the work. It is not trying to be QuickBooks. It is trying to be the tool you actually enjoy using instead of dreading month-end bookkeeping.

Key Features

Invoicing

Create professional branded invoices in minutes with customizable templates, automatic payment reminders, and online payment acceptance (credit card and ACH). Recurring invoices handle subscription clients automatically. The client portal lets customers view, comment on, and pay invoices online. Late payment reminders can be automated so you do not have to chase people. FreshBooks claims that users get paid an average of 11 days faster than with manual invoicing. The invoicing experience is noticeably better than QuickBooks, which is why many people start with FreshBooks even if they eventually outgrow it.

Expense Tracking

Connect bank accounts and credit cards for automatic transaction import and categorization. Snap photos of receipts with the mobile app, and FreshBooks extracts the data and matches it to expenses. Tax categories are pre-built so expenses are organized correctly come tax time. The automatic categorization is not perfect (you will still need to review and correct some transactions), but it saves hours of manual data entry each month.

Time Tracking

Built-in timer and manual entry on all plans. Track time by project and client, then convert tracked hours directly into invoice line items with one click. Team time logging lets you track employee hours across projects. For hourly billing businesses, this time-to-invoice workflow eliminates the spreadsheets and copy-pasting that eat into productive hours. It is simpler than dedicated time trackers like Harvest or Toggl, but the integration with invoicing makes it more useful for billing purposes.

Financial Reporting

Profit and loss statements, expense reports, tax summaries, accounts aging, and revenue by client. The Plus plan and above include double-entry accounting and bank reconciliation for proper bookkeeping. The Premium plan adds project profitability tracking so you can see which clients and projects are actually making you money. Reports are clean and exportable. Not as sophisticated as QuickBooks or Xero for complex businesses, but more than adequate for freelancers and small service companies.

Pricing

  • Lite: $21/month. 5 clients, unlimited invoices/estimates, time tracking, expense tracking, mileage tracking, basic reporting.
  • Plus: $38/month. 50 clients. Adds double-entry accounting, bank reconciliation, accountant access, recurring invoices, late payment reminders, proposals.
  • Premium: $65/month. Unlimited clients. Adds project profitability, automatic receipt capture, customized templates, accounts payable.
  • Select: Custom pricing. Unlimited clients, 2 included users, dedicated account manager, lower payment processing fees.

Additional team members cost $11/month each. Payment processing is 2.9% + $0.30 per transaction (standard) or 3.5% + $0.30 with the Advanced Payments add-on ($20/month). FreshBooks regularly runs promotions offering 90% off for the first 4 months. Annual billing saves approximately 10%.

Who is FreshBooks For?

Freelancers and solopreneurs, especially service-based professionals: consultants, designers, developers, marketers, photographers, and accountants. Small businesses that invoice clients regularly and need simple financial management. Hourly billing professionals who want seamless time-to-invoice workflows. Non-accountants who want clean, intuitive financial tools. Not ideal for product-based businesses needing inventory management, companies with many clients on the Lite plan, or businesses requiring advanced GAAP-compliant reporting.

Where FreshBooks Falls Short

The 5-client limit on the Lite plan is restrictive. Freelancers who work with more than 5 clients per month (which is most active freelancers) are immediately pushed to the $38/month Plus plan. This makes the entry price misleading.

No inventory management. If you sell physical products alongside services, FreshBooks cannot track stock, manage purchase orders, or generate inventory reports. QuickBooks and Xero handle this; FreshBooks does not.

The payroll add-on ($40/month + $6/user/month) is expensive and basic compared to dedicated payroll tools. If you have employees, you will likely need a separate payroll solution anyway.

Reporting, while clean, is limited for growing businesses. No custom report builder, no multi-currency support on lower plans, and no departmental or class tracking. Businesses that outgrow FreshBooks typically migrate to QuickBooks or Xero.

Alternatives

QuickBooks Online

The market leader with more comprehensive accounting, advanced reporting, payroll, inventory, and industry-specific features. More complex and expensive, but scales better for growing businesses. Starts at $35/month. Better if you need full-service accounting beyond invoicing.

Xero

Strong multi-currency support, inventory management, and unlimited users on all plans. Popular with international businesses and product companies. Starts at $15/month. Better than FreshBooks for businesses that sell products or operate internationally.

Wave

Free core accounting and invoicing. Monetizes through payment processing and payroll add-ons. Best for budget-conscious businesses with simple financial needs. The free price makes it the obvious alternative for freelancers who find FreshBooks too expensive.

FAQ

Can my accountant access FreshBooks?

Yes. The Plus plan and above include free accountant access. Your accountant gets their own login to view reports, make journal entries, and manage your books directly. This saves time during tax season.

Does FreshBooks handle sales tax?

FreshBooks tracks sales tax on invoices and expenses with configurable tax rates. It generates tax summary reports. However, it does not file taxes automatically. You will still need an accountant or tax software for filing.

Can I accept payments through FreshBooks?

Is FreshBooks worth it?

FreshBooks is the most enjoyable accounting tool for freelancers and small service businesses. The invoicing is best-in-class, time tracking integration is seamless, and the UI is genuinely pleasant.
